About the role

As we continue to grow, we offer an exciting opportunity for a Senior Administrative Assistant to join our Brisbane-based Business Advisory team. In this senior role, you will provide high-level administrative support to our senior leadership, ensuring seamless operational support for our team and exceptional service delivery to our valued clients. This is a pivotal role in maintaining strong client relationships and facilitating the efficient functioning of the advisory team.

  • Manage and oversee client onboarding and exit processes, including CRM updates, and preparation of ethical and engagement letters
  • Maintain client records, ensuring all documentation is accurately filed and up to date
  • Support Directors and senior staff with client correspondence, invoicing, and fee preparation
  • Assist with the preparation of financial reports, workpaper compilation, and collation of financial documents
  • Facilitate the establishment of new entities such as trusts and companies
  • Maintain company secretarial registers using Corporate Affairs System (CAS)
  • Liaise with the Australian Taxation Office (ATO) and Australian Securities & Investments Commission (ASIC) regarding client matters, including lodgement of tax returns, activity statements, and corporate documents
  • Create and maintain standard templates and processes for use by the wider team
  • Manage general office duties, including document management, filing, scanning, and archiving

Desired Skills and Experience

About you

  • Proven experience in a senior administrative role, preferably within a professional services environment or a Chartered Accounting firm
  • Advanced proficiency in Microsoft Office and excellent computer literacy
  • Strong attention to detail and the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • A proactive, solution-focused mindset with the ability to work autonomously and within a team
  • A collaborative approach to teamwork, with the ability to build strong relationships with internal and external stakeholders
  • A genuine passion for providing exceptional support and contributing to the overall success of the team
